Gradience Pro / Enterprise - Let Each Employee See his/Her Own Time-Off Balances

Setting up the first employee has many steps but they are easy steps. Setting up all of the remaining employees is far simpler because the access rights for this first employee will be cloned for all of the remaining employees except for the login and password, which will be unique to each employee.

Setting Up the First Employee:

1. To create the first one, the administrator would open the software and click Settings > User Rights. When the screen opens, click New at the top.

2. Then the administrator will fill out the four fields to identify the employee and to set the login and the password for the employee as shown here…

In my example above the login is bob (It automatically shows up as all caps.) and the password is 1234. The password will display as dots to keep it secure. 

3. Slightly further down the administrator will see a list of features. One of them will be Employee Record Access as shown here… 

 

4. The administrator will have to click the words No Access to get a down arrow and then click the down arrow to get a drop-down menu as shown here…

 

5. The administrator would select Read Only as shown here…

 

6. The administrator would then return to the top of the screen and click the Attendance Features

 

7. This will reveal a new list of features that are unique to Gradience Attendance. About two thirds the way down, the administrator will see this…

 

8. The administrator will have to click the words No Access to get a down arrow and then click the down arrow to get a drop-down menu as shown here…

 

9. The administrator would select Read Only as shown here…

 

10. The administrator would then return to the top of the screen to click Save.

Setting Up Each Additional Employee:

1. Now, to do this for the remaining employees, the administrator will click Settings > User Rights. When the screen opens, click on the name of the first employee set up moments earlier over on the left. 

 2. Then go to the top of the screen and click Clone

This will generate the popup window shown here… 

3. The administrator will fill out the four fields to identify the next employee and to set the login and the password for the employee as shown here…

In my example above the login is joe (It automatically shows up as all caps.) and the password is 4321. The password will display as dots to keep it secure

4. The administrator would then return to the top of the screen to click Save.
